Board Packet

One of HOAMCO"S most valuable resources to assist association Board of Directors os its custom "Board Pack," a packet of information distributed to each member of the Board one week prior to each scheduled Board meeting. The Board Pack informs each board member in a timely manner of all community and/or association activities that have transpired since the last meeting of the Board. This helps the Board not only an efficient agenda, but it also prepares the Board to make timely and informed decisions on issues effecting the community. The board pack is especially valuable because of the organized way in which information is reported and presented. Following is a sample of the contents of a typical Board Pack. Of course all Board Packs are tailored to the special needs of each community, meaning your board pack may include special items not listed below.

  • Community Goals and Progress - an executive summary of the reporting period (usually the previous 30 days)
  • New homeowners Listing - all title transfers recorded during the reporting month
  • Community Calendar - all forthcoming/immediately past activities having an impact on the community
  • Bids and recommendations - analysis of each contractor/vendor and HOAMCO's recommendations
  • Contract Summaries - a listing of all contracts, including vendors, maturity dates and prices
  • Resolutions - all formal policies setting forth changes to the Bylaws
  • CC&R's. Bylaws and Policies
  • Action Items - pending items for discussion and review
  • Board Meeting Agenda - layout of order and items to be discussed
  • Minutes of previous meeting
  • Manager's Report - a report/update of legal matters, and the status of unfinished (old) business
  • Community Development Report - status of development inside community and update of outside development impacting the community
  • Financial Information - balance sheet, budget comparison report, cash disbursements and delinquency report
  • Other Applicable Enclosures - letters/correspondence from homeowners, news articles, and seminar/class schedules
